Who we are

Bridge Imara Services ("we", "us") is a business name registered in Kenya. We provide online business management, systems and process design, automation, project management and virtual assistant services to clients around the world.

We are responsible for the personal information described in this policy. You can reach us at info@bridgeimara.com.

What we collect

Information you give us

  • Contact form: your name, email address, the service you're interested in and your message.
  • Booking a call: your name, email address, the time you choose and anything you add to the booking. Bookings are handled by Google Calendar.
  • Emails and calls: anything you choose to tell us when you write to us or talk to us.
  • Clients: billing details, contract details, and the information and accounts you share with us so we can do the work.
  • Payments: if you pay online, payment is handled by SureCart and PayPal. We don't see or store your full card or bank details.

Information collected automatically

  • Analytics (only if you accept): if you click Accept on our cookie banner, we use Google Analytics to understand how visitors use our website, such as pages visited, approximate location, device and browser. If you click Decline, Google Analytics doesn't run (see Cookies below).
  • Website and security logs: our hosting provider and website tools record technical data such as IP address, browser type and the time of your visit, to keep the site working and secure. Some images are served through Jetpack's image service.
  • Videos: our videos are embedded from YouTube in privacy-enhanced mode. YouTube may set cookies and collect data when you play a video.

How we use it

  • To reply to your messages and hold the calls you book.
  • To give you an estimate, agree the work and provide our services.
  • To send you your weekly reports, invoices and receipts.
  • To keep records our business must keep by law, such as tax and accounting records.
  • To understand how our website is used, and improve it.
  • To keep our website and systems secure.

If you are in the UK or the European Economic Area, our legal reasons for using your information are: to take steps you ask for before a contract and to perform our contract with you; our legitimate interest in running and improving our business and website; legal obligations; and your consent, where we ask for it (for example, for analytics cookies). You can withdraw consent at any time.

Who we share it with

We never sell your personal information or share it for advertising. We share it only with trusted providers that help us run our business, and only as much as they need:

Our team members who work on your account can see the information they need for that work, and they are bound by confidentiality. We may also share information if the law requires it, or to protect our rights.

International transfers

We are based in Kenya, and some of our providers store information in other countries, including the United States. When your information moves between countries, we rely on our providers' safeguards, such as standard contractual clauses, to keep it protected.

Information we handle for clients

When we do work for you, we may handle personal information about your own customers, staff or contacts. In that case we act only on your instructions, keep it confidential, and use it only for your work. If you need a data processing agreement (for example, under UK or EU data protection law), email info@bridgeimara.com and we'll provide one.

How long we keep it

  • Messages and enquiries that don't lead to work: up to 24 months, then we delete them.
  • Client records (contracts, invoices, payments): as long as tax and accounting laws require.
  • Client work files and account access: returned or deleted when the work ends, unless you ask us to keep them.
  • Analytics data: kept by Google Analytics for the retention period set in our account (no more than 14 months).

Your rights

Depending on where you live, you can ask us to:

  • see the personal information we hold about you;
  • correct it if it's wrong;
  • delete it;
  • limit or object to how we use it;
  • give you a copy in a common format;
  • stop using it where you gave consent.

Email info@bridgeimara.com. We'll reply within one month and won't charge you. We may need to confirm your identity first.

If you're not happy with how we handle your information, please tell us first so we can put it right. You can also complain to the Office of the Data Protection Commissioner in Kenya, or to the data protection authority where you live (for example, the Information Commissioner's Office in the UK).

If you live in a US state with privacy laws, such as California: we don't sell or share your personal information for targeted advertising, and you can use the rights above.
